From Discovery to Delivery: The Woodrow Manufacturing Process

A six-stage process built around your requirements, your industry, and the long-term success of your equipment programs.

Manufacturing That Starts With Your Problem, Not Our Catalog

Most manufacturers ask what part number you need. We ask what your equipment has to survive. Every Woodrow component starts with a conversation about your operating environment, your compliance requirements, and your production schedule — because a label, nameplate, or overlay that’s wrong for the application is worse than no component at all. Whether you need ten prototype units for a pilot build or ten thousand parts for a long-running production program, our process is designed around the same principle: understand the problem, engineer the right solution, and support it through the life of your equipment.

The six stages that follow apply to every project we take on, but the depth of each stage adapts to what your project needs. A short-run prototype moves through Discovery and Design quickly. A regulated medical device program may spend weeks on compliance review. A defense contract requires traceability documentation at every stage. The process scales to match the complexity of your application — never the other way around.

The Six Stages

DISCOVERY

We start by understanding your equipment, not your part number.

Discovery is where we learn what your component actually has to do. We ask about the operating environment — temperature ranges, chemical exposure, vibration, UV, washdown frequency. We ask about installation — how the component gets applied, by hand or automated, on what surface. We ask about compliance — FAA, MIL-SPEC, FDA, NSF, UL, whatever applies to your industry. And we ask about volume and timing — whether this is a one-time prototype, a short-run production batch, or a long-running program with monthly reorders.

By the end of Discovery, we have enough information to recommend materials, construction methods, and production approaches that match your application. If we don’t know enough yet, we ask more questions — because guessing at this stage costs more than asking does.

DESIGN

We engineer for your environment, not just your aesthetics.

Design is where Discovery becomes a buildable specification. Our engineers select substrates, adhesives, inks, finishes, and constructions based on what your environment demands. High-temperature polyester for industrial controls. Anodized aluminum for MIL-STD-130 marking. Polycarbonate overlays with selective texturing for medical interfaces. UV-resistant inks and topcoats for outdoor power equipment. Every material decision is documented so you know exactly what you’re getting and why.

Our graphic design team handles artwork, layout, and branding integration in parallel — color matching to your brand standards, compliance markings to industry requirements, embossing and tactile features for usability. If you have existing artwork files, we work from your files. If you need artwork created from scratch, we build it with you. Output is print-ready production files plus a detailed specification sheet you can keep for your records.

PROTOTYPING

You see and test the component before we build production quantities.

Prototyping is where the design becomes a real, physical component you can hold, install, and evaluate. We produce a small batch of production-grade samples using the same materials, equipment, and processes we’ll use for your full production run. This isn’t a mockup or a printout on different stock — it’s the actual component, just in low quantity. You can install it on your equipment, run it through your acceptance testing, hand it to your engineering team for review, or send it to your end customer for approval.

If something needs to change after prototyping — a different adhesive, a brighter color, a thicker laminate, a different mounting orientation — we make the changes before production starts. This is where the cost of correction is lowest. Prototyping is included for most projects through our short-run and prototyping service, and for complex applications we may run multiple prototype iterations to dial in the right configuration.

PRODUCTION

We scale from approved prototype to production volume without changing what works.

Production runs use the same materials, the same equipment, and the same processes as your approved prototype — so the production parts perform exactly the way the prototype did. Our facility runs screen printing and digital printing for high-volume label work, fiber laser engraving for permanent metal marking, CNC cutting and die-cutting for precise dimensional work, and full assembly capabilities for multi-layer constructions and integrated subassemblies.

Production volume is matched to your needs. We run jobs from 25 prototype units up to 100,000+ part production batches without changing the underlying process. Color consistency is maintained through in-house color matching calibrated to your brand standards or compliance requirements. Every job is documented for traceability — material lots, equipment settings, operator records — so if you ever need to reorder or audit, the production history is on file.

QC & QA

Components leave the building only after they pass the same conditions your equipment will face.

Quality testing isn’t a single step at the end — it’s built into every stage of production. We perform in-process inspection during the production run to catch issues early, then run final acceptance testing on completed batches. Standard tests include adhesion verification, dimensional measurement, color verification against approved standards, abrasion resistance, and visual inspection for printing defects. For applications with specific environmental requirements, we run additional tests like accelerated UV exposure, thermal cycling, chemical immersion, and humidity exposure.

Components that don’t pass quality checks don’t ship. For regulated industries, we provide test documentation alongside the components — material certificates, inspection records, dimensional reports, and traceability data. Defense and aerospace customers receive marking verification reports for serialized components. Medical equipment customers receive clean-room handling and bioburden documentation when required.

DELIVERY

Your components arrive ready to install, on the schedule your production line needs.

Finished components are packaged for the way you’ll use them. For high-volume production lines, we package in line-ready kits organized by build sequence. For multi-component assemblies, we group related parts so installers can grab everything they need from a single package. For sensitive components like medical-grade overlays or aerospace nameplates, we use protective packaging with anti-static or contamination-control materials. Standard products ship in clearly labeled cartons with quantity, part number, and lot information visible.

Delivery timing matches your production schedule. For one-time orders, we ship as soon as the components clear final inspection. For ongoing programs, we coordinate releases against your forecast — weekly, monthly, or as-needed pulls. Tracking information goes to your designated contacts automatically, and our project managers proactively flag any timing risks so you have time to react.

How the Process Adapts to Your Project

The six stages stay the same, but the depth and rigor of each stage adapts to what your project actually needs. Here’s how the process shifts based on common project types.

Short-Run Prototypes & Pilot Builds

Discovery and Design move quickly because the goal is to validate a concept, not optimize for full production. Prototyping IS the production stage. Testing focuses on functional verification rather than full environmental qualification. Total timeline is typically 2–4 weeks from first conversation to delivered prototypes.

Long-Running Production Programs

Discovery includes capacity planning and forecast review. Design accounts for repeatability across thousands of units. Production scales to scheduled monthly or quarterly releases. Delivery becomes ongoing through inventory management programs that pull components against your build schedule. Testing includes statistical process control across production runs.

Regulated Industries

For aerospace, defense, medical, and food service, Discovery includes detailed compliance review and qualification testing requirements. Design documentation is built for audit traceability. Production includes lot tracking, operator records, and equipment calibration logs. Testing includes industry-specific verification (UID marking verification for defense, contamination control for medical, NSF compliance for food service). Documentation packages travel with every shipment.

Multi-Product Systems & Complex Assemblies

Design coordinates across product types — labels, nameplates, overlays, and lighting all engineered to work together on the same equipment. Production includes assembly stages where multiple Woodrow products are integrated into subassemblies before delivery. Testing verifies fit and function as a system, not just individual components. Kitting groups all related parts into single line-ready packages.

What Happens After Delivery

For most manufacturers, the relationship ends when the truck leaves the dock. Ours starts there. Equipment programs run for years — often decades — and the components that go on that equipment need a supplier who’s still around for the second order, the engineering change, and the eventual product refresh. Here’s how Woodrow supports your program after the first delivery.

Inventory Management and Reorders

Reorders use the exact same specifications as your original production run. Material lots, equipment settings, and quality criteria are documented so the tenth reorder looks identical to the first. Through our parts stocking program, we hold inventory in our facility and ship against your release schedule, eliminating the lead time on every order.

Engineering Changes and Revisions

When your equipment design evolves — a new model year, a regulatory update, a branding refresh — we coordinate the change through a controlled revision process. Old parts are clearly identified, new parts are produced and validated, and the transition happens on your schedule. We maintain revision history so you always know which version is in production.

Field Performance Feedback

If a component isn’t performing the way Discovery and Design predicted — an adhesive failing in a hotter environment than expected, a label fading faster than projected — we want to hear about it. Field feedback drives material updates and process improvements that benefit your future orders and other customers in similar applications.

Long-Term Program Continuity

Aerospace and defense programs run 20+ years. Industrial equipment platforms run 10–15 years. Medical devices have product lifecycles measured in decades. We support our customers across those long horizons — same supplier, same process, same documented quality — so your equipment program never has to qualify a new component vendor mid-cycle.
